Course Registration

REGISTRATION INSTRUCTIONS

Students have three Major Registration periods, and monthly Open Registration Days to add or drop courses. For the major registration periods in January, April, and October, please refer to the instructions below. Please consult your course directors for first day reporting instructions.

Registration Days and Times

  • Registration takes place in the evening on major registration nights (January, April, and October), and between 11:00am and 6:45pm on Open Registration Days.
  • You should log in to SSOL using your UNI and password, and click on “Registration Appointments.” 
  • Dual degree students and those returning from a year off should email pselectives@columbia.edu if you have any specific questions, or if you do not have a registration appointment.

 

Choosing Electives and Registering

  • Please review the P&S Electives Catalog to determine which electives you want to take, and when you can take them.
  • Not all electives are offered during all months, so please read the descriptions carefully, including the "Notes" section for each course link.
  • Once you have determined the course(s) you want to add, as well as some alternative choices in case your top selections are full, find the call numbers in the appropriate PDF (found toward the bottom of this page).
  • Because the offerings change from year to year, you may see call numbers for months when courses are not offered. For this reason, it is important to consult the P&S Electives Catalog about available months before registering, as it is most accurate. If you do not see a call number listed, please email pselectives@columbia.edu immediately.
  • The section numbers correspond to the month for which you want to take the elective.
    • For Example: Courses with section number 003 occur in March, 004 take place in April, and 005 take place in May.
  • Please note that the course title in the catalog and the course title in the call number document may not be the same. Use the course code to find the appropriate course.
    • For Example: the course code for **Cardiothoracic-Surgical ICU Subinternship is AS03P.
  • After finding the correct call number, log into SSOL and click on "REGISTRATION." Enter the call number and press submit.
    • As an example, if I’m trying to register for AS03P **Cardiothoracic-Surgical ICU Subinternship: I read the course description and see that it is offered in March. It has a maximum capacity of six students. In case AS03P is full for March, I need to have a backup elective for which I can register (The system will tell you if an elective is full). Once I have determined my top choices and alternates, I must look up the call numbers on the appropriate PDF.  The call number for AS03P in March is 63987. In SSOL, I click the menu option called "Registration," enter the call number and submit.
  • We recommend you do the preparatory work on paper before registration begins so you do not have to flip between the PDFs of call numbers and SSOL during registration.
  • If a course requires permission, students MUST forward emailed permission from the course director to pselectives@columbia.edu, OR submit a Petition to Add form before registration, or they will be dropped from the course.
  • Students should not add self-arranged preceptorships or research electives without submitting the Petition to Add form.

 

Self-Arranged Preceptorships

All preceptorships listed in the P&S Electives Catalog (electives with "Preceptorship" in the name) are treated as regular P&S courses, and you should follow the steps above to add them. If you plan to arrange or have already arranged a preceptorship that does not appear in the P&S Electives Catalog, please follow the steps below to add it to your schedule:

  1. Obtain faculty permission to complete a preceptorship under their supervision.
  2. Compose a one-page proposal detailing the objectives, learning format, methods of feedback, and grading criteria.
  3. Complete the Petition to Add form with proposal and submit to the Office of Medical Education (pselectives@columbia.edu or P&S 3-401 front desk). Your faculty supervisor may sign the form, or they may email their approval to supervise you to pselectives@columbia.edu.
  4. The Senior Associate Dean for Student Affairs will then review your proposal, and the Office of Medical Education will inform you of approval. Once approved, we will register you for the preceptorship manually.

Again, do not register for any self-arranged preceptorships, research or away electives or courses requiring course director permission unless you have submitted the appropriate paperwork and obtained prior approval from the Office of Medical Education. You will be dropped from these courses if you do not obtain approval and submit appropriate paperwork before registration.

 

Self-Arranged Research Electives

All research electives, whether they are self-arranged, or appear in the P&S Electives Catalog, must receive prior approval from the Office of Medical Education. Please follow these steps to add research electives to your schedule:

  1. Obtain faculty permission to complete a research project under their supervision.
  2. Compose a two-page proposal detailing the objectives, methods, goals, and role of the student in this project.
  3. Complete the Petition to Add form with proposal and submit to the Office of Medical Education (pselectives@columbia.edu or P&S 3-401 front desk). Your faculty supervisor may sign the form, or they may email their approval to supervise you to pselectives@columbia.edu.
  4. The Senior Associate Dean for Student Affairs will then review your proposal, and the Office of Medical Education will inform you of approval. Once approved, we will register you for the research elective manually.

All research electives require approval from the Office of Medical Education. Do not register for any self-arranged research electives unless you have submitted the appropriate paperwork and obtained approval beforehand.

All research electives require a two page summary at the end of the month in order to receive credit.

 

Away Electives

To add an away rotation, please submit the Petition to Add Form to pselectives@columbia.edu or Room 3-401 in the P&S Building at least 4 weeks prior to the start of the rotation.    Remember to include a copy of the confirmation from the host institution when submitting your paperwork (to pselectives@columbia.edu or P&S 3-401). You do not need the course director’s signature; the approval letter from the host institution will suffice.

All away electives must be added by the 4 week deadline. Please contact pselectives@columbia.edu if you are planning to attend an away elective that has not confirmed within 4 weeks of the start date.

All away electives must be at least 4 weeks in length, except for the University of California system, which can be 3 weeks.

Self-Arranged Global Health

  • All self-arranged international electives MUST be approved by the Offfice of Medical Education at least 6 weeks prior to departure or registration. Please review the Global Health CourseWorks site for instructions on how to add a self-arranged international elective. 

 

Scholarly Project and Interview/Vacation Months

  • You will need to register for two different courses for your Interview/Vacation months – VA91P and VA92P. Please register for these in sequential order, with VA91P corresponding to your first Interview/Vacation month and VA92P corresponding to your second.
  • You will not register yourself for Scholarly Project months. SP Registration will occur after students have declared a track, submitted a mentor agreement, and submitted a proposal.

OPEN REGISTRATION DATES (MONTHLY)
To participate in Open Registration Days, you will need to log in to SSOL between 11:00am and 6:30pm on the days below and input the course call number to add or drop a course.

Please keep in mind that students must receive approval from the Office of Medical Education prior to adding/dropping electives within 4 weeks of the rotation month. Contact pselectives@columbia.edu immediately if you need to add or drop an elective within one month of the start date.
